David K Chan asked:

Building a cheap virtual office is one of the best ways to keep expenses to minimum, especially if you’re just starting your company. I’ve been running a small business now for the last two years. Having come from BIG corporate America, with companies like Oracle and HP, I’m all too familiar with the excesses that companies spend on office buildings, receptionists, phone systems, private rooms, and expensive “lunch meetings.”

In fact, one of the startup companies that I was with back before the dotcom bust raised over $100M in venture and capital financing. In just five short years that company went from the darling of the mobile industry to the Silicon Valley graveyard. Part of the reason why was the excessive waste in fancy offices and stylish furniture.

A cheap virtual office is truly an idea whose time has come. Cheap technology has really helped to create an environment where you can truly have a “virtual company.” I can attest to that because I am in the Internet marketing business and my team is literally in northern and southern California, the Philippines, Malaysia, and Costa Rica. The team is made up of personal assistants, webmasters, graphic artists, audio specialists, and business development people.

Some of the necessary tools of a cheap virtual office include: a computer(s), Internet connection and a phone or phone system. The computer and Internet connection are pretty obvious. But the phone system may not be for the uninitiated. What do I mean?

In my company, we all need to communicate with one another. And, we have many clients who call for scheduling, technical support or marketing purposes. How do we look like a BIG company on a cheap virtual office budget?

In our case, we implemented a virtual PBX solution that is really inexpensive, yet incredibly flexible and expandable. This system allows us to have one 800# that all customers call into and a live or automated attendant who answers the call. The call can then be routed to an “employees” extension, which can be either a mobile #, landline # or just directed to a voice mail box.

The virtual PBX solution is by far the best, most-cost effective solution that I chose out of about 10 different products. If you’re investigating cheap virtual office products, you’ll eventually be looking at virtual PBXs. This is one product that I strongly recommend you consider.

Now, as I mentioned, I am an Internet marketer. And, yes I am an affiliate for this product. But, I am also a huge proponent of small business. And, I want to help other small businesses to succeed, as well. I believe small businesses are what keep America strong.

We use this product on a daily basis. We’ve customized it with our clients’ music on hold songs, custom greetings, special extensions and more. On my personal blog “RingCentral Tips”, I will give you tips on how to make the best of the virtual PBX solution.

Alexander Gordon asked:

Working Together While Sitting On the Opposite Side of Earth:

Running a successful virtual office has become an increasingly popular phenomenon all over the world today. This is a kind of arrangement where the focus and the mission of the businesses are similar but it is not necessary that the personnel also sit in the same office. On the contrary, there is no limit to the physical distance and the other person may be sitting on the other side of the planet.

Virtual Relationship:

To run a successful virtual office, you need to understand the reasons why the virtual office is becoming so popular. In fact, whatever kind of business you are running, no matter how small it is, you need someone else also to operate it smoothly. Every business demands different types of skills, and you need different personalities to fulfill the requirements. While running a successful virtual office, one may get ideas for the marketing of products from a person whom he might never meet in his life face-to-face. So, the virtual office is building virtual relationships also.

Avoid Feeling of Isolation among Employees:

To run a successful virtual office, you have to adopt certain specific strategies. Here are some of them to help you in running your virtual office. The first and very important point to keep in mind is that your employees should never feel they are isolated. How can you prevent this from happening? For this purpose, you should organize conferences at regular intervals so that the employees get an opportunity to interact with each other, thereby getting rid of the feeling of loneliness. Here, making use of Web conferencing services will be very useful.

Develop Good Working Habits:

To run a successful virtual office, you have to train your employees for working habits also, along with making them expert in technology. Methods of training employees for the virtual office are different from that of centralized offices. In addition to learning the proper use of the technical items like laptops, PDAs, and other similar things, they also have to learn how to make best use of their time. They have to learn the art of not mixing the things like house cleaning and child care with their office work.

Have Faith in Your Employees:

Another important requirement for running a virtual office successfully is trust between the employees of different levels. As the physical distance is a great barrier in seeing them more often, you have to manage all the office work by developing a sense of mutual faith. The communication should be more frequent and there must be no confusion regarding the work at hand at the deadline to finish it.

asked:

Selecting a Location

Location

Office space location issues can include proximity to existing and potential employees, clients, vendors, and various third parties. For companies with less than 100 employees, the primary criteria for selecting a location is typically proximity to the chief executive officer’s residence. As a company grows, office relocations also consider where both existing and prospective employees live. If a company moves 20 or 30 miles from its current location within a metropolitan area, some employees may decide to the additional commute is not worthwhile. If the company moves to another metropolitan area, it will likely lose many of the lower to middle level employees and a portion of the senior management.

Employee Home Locations

The home location for prospective employees must also be considered. If a company has 10 employees, it probably works fine to have an office on the fringe of the metropolitan area. However, a company with hundreds or thousands of employees must consider drawing its staff from a larger geographic base than is reachable from the fringe of the metropolitan area. For example, if your company is on the southern fringe of a large metropolitan area, prospective employees on the northern fringe would be reluctant to make the commute.

Alvin S. Jay asked:

When you have your own virtual office, it is essential that you have an appropriate virtual tool because this will help you to have an effective method to accomplish all your tasks fast and easy. At the present time, every virtual agency is already gaining popularity because majority of the employees are able to handle and assist all their clients without spending a lot of money in building their actual offices. Compared to a usual working place, this kind of office does not necessarily need to have a physical location. Due to a developing technology, the employees and employers will be able to share different information, and they can still maintain a good and effective communication.

With this, that will be able to work well in a comfortable environment without too much monitoring from the supervisor. In that case, they will be able to work effectively, and they can reduce the stress that they are experiencing every day. However, as an employer, you must be able to hire a knowledgeable, trained, skilled and professional employee so that they will be able to provide every customer with good services. Many will be able to know that all the employees in the office can be trusted and can really help them solve their problems.

Unlike the other big offices, you will be able to have a relaxing and comfortable workplace because the supervisors are not frequently with you. This does not mean that you can already do whatever you want. This kind of office is very helpful not only for the employers and employees but with the clients. They will be able to create an effective communication and establishing rapport is made easy. Most of the employees are friendly and approachable that is why they are able to make an open communication.

Even if you are working at home, you can still be very competitive in assisting all the needs of different clients. This is just like a home base job for some employees. Nevertheless, even if they are permitted to freely do what they want, they still need to commit themselves with their jobs so as many clients will rely on them and will trust the services that they have. There is really a big difference when it comes to this kind of office because the atmosphere that is created is extraordinary and unique.

This may not be an effective office for some but as long as the employers and the employees have a good communication, they will be able to make their office reliable and consistent. There are only few who prefer to have a virtual office because some may think that is very difficult to handle the employees if they are not working together. As a matter of fact, the employees even worked effectively with this kind of office because they are aware that they have a job, and they must be committed with the rules and regulations that were given to them before they were hired by the employer.

The first impression from the public is important in deciding the success of the businesses. In general, people would have more trust and confidence on your company when you have a “good looking” office. It is normal for people to judge a book by its cover. Here comes the virtual office concept which promotes the economical way to enhance corporate image.

You can actually lower your overheads and gain a competitive edge by getting a virtual office to run your business in any big city, state and country. The service providers offer you a wide variety of flexible office solutions as well as great facilities in the real office buildings. Under this new concept, you are provided with a more professional venue to meet up with your associates, clients and suppliers. Moreover, you are also offered all types of professional services like phone call handling, message taking, mail forwarding, fax services, web hosting service and so on. All these services are not costly and yet you are able to increase your business image in the eyes of the public.

By obtaining the office space with the short term leasing concept, you will be able to enhance your corporate image within a very short period of time even if you have just started the business not long ago. You are not only enjoying a nice office with all types of “drop in” facilities, you are also enjoying the “low cost” rental. With this superb concept, you are able to utilize your capital wisely for business expansion.
